What are we looking for:
The role of Assistant to the Leadership Team (ALT) is pivotal in ensuring the seamless execution of day-to-day operations by delivering comprehensive administrative support primarily to the CEO and, secondarily, to the entirety of the PRC Leadership.
The ideal candidate is characterized by a high level of organization, attention to detail, exceptional communication skills, proactive initiative, and the ability to manage multiple tasks seamlessly in our dynamic and rapidly evolving environment.
Proficiency in various tasks, including billing processes, payroll management, contract administration, calendar coordination, email organization, onboarding processes, and strategic contributions, is imperative for success in this position.
Responsibilities:
Compile and meticulously execute Clinical Billing reports weekly, ensuring timely delivery to the Biller.
Manage monthly Payroll in Gusto for employees and contractors.
Oversee Gusto and HR requests from all employees (time off, expenses) and contractors.
Prepare agendas for all meetings with forward-thinking and strategic design.
Ensure prompt filing of all legal and regulatory documents, monitoring ongoing compliance.
Issue reminders to employees for updated credentials/licenses as required for compliance.
Manage contracts using the Esignatures.

Efficiently handle calendar organization and planning ? CEO work calendar and gradual transition into personal calendar as well ? Ops team calendar ? Important Employee dates calendar ? Company-wide calendar Facilitate monthly Clinical Team Meetings, including scheduling, agenda creation, logistics, setup, and attendance.
Collaborate in planning offsite meetings, parties, and team all-day events.
Manage weekly leadership meetings, including agenda creation, attendance, and contribution.
Provide administrative support for timely and organized expansion to regions as per operations checklists.
Answer PRC HQ phone line and direct calls to the appropriate employee/executive.
Manage email for the Admin/Operations team and organize the CEO's inbox, filtering urgent emails.
Handle USPS PO Box mail collection, organization, responses, both incoming and outgoing.
Process banking deposits and SquareUp payments.
Coordinate recruitment coordination/check-in calls to facilitate the scheduling process.
Conduct reference checks for applicants, manage the collection of HIPAA and NDA agreements through esignatures.
io, and oversee the proofing and delivery of contracts and offer letters.
Work with the Swimm Social recruitment team and Vice President of Operations (VPO) for post-hiring onboarding via checklist protocol.
Order, design, and deliver employee badges, business cards, jackets, welcome boxes, and other onboarding materials.
Collect demographics and arrange health benefits calls with health insurance broker.
Prepare and disburse medical/procedural supplies upon employee request, keeping inventory and placing orders when needed.
Organize and prepare Esignatures.
io agreements at a moment's notice from CEO, VPO, or Business Development Lead (BDL).
Organize and maintain PRC Google Suite and Google Drive.
Maintain partnerships, specifically with external organizations, clinicians, facilities, and practices.
Personal
Qualifications:
Possesses over >1 year of experience as an Executive Assistant (EA) or Administrative Assistant (AA) in a fast-paced professional environment, with a proven track record of reporting directly to multiple executives/leaders.
Demonstrates the ability to task-shift or pivot priorities as needed, responding promptly to directives from multiple stakeholders.
Quick learner with the capacity to grasp intricate tasks using a see one, do one, teach one methodology.
Exhibits a keen interest in Healthcare, displaying readiness to acquire in-depth knowledge of the field to effectively support executives and contribute valuable ideas to our company's growth.
Takes ownership of the role, demonstrating a willingness and readiness to assume additional tasks or responsibilities to best meet the needs of PRC leaders.
