We are continuing to grow at a rapid pace and are seeking an Office Manager to help support our ever growing beautiful Hermosa Beach headquarters.
The Role:
The Office Manager is responsible for ensuring that the Strand office runs smoothly; meaning the office is well supplied, organized, and employees have what they need to be productive and comfortable.
This role also oversees facilities and manages all needs for the physical office and building.
In addition to those responsibilities this role would act as a culture carrier and will assist in supporting company culture initiatives.
The ideal candidate will have a history of being an independent and proactive self-starter that can effectively prioritize their workload and manage multiple priorities.
Responsibilities:
Manages all office and building maintenance including:
General upkeep and cleanliness of the office, light cleaning of dishes Keeping the supply room stocked and organized Straightening-up desks and furniture, watering plants, Setting and cleaning up company lunches Opening and distributing of physical mail Owns the creation and maintenance of office seating charts as well as the employee directory Manages Company credit card governance Orders weekly office lunches Owns replenishing office materials such as snacks, printer supplies, paper, office supplies, etc.
Assists in planning, arranging and executing on quarterly team building activities, happy hours, and holiday parties in service of creating a lively, fun, welcoming culture Greets and assist office visitors Ensures conference rooms are booked appropriately as well as ensures that the conference rooms are tidy and technically capable Assists with light technical help with office technology such as Zoom and GoogleMeet Supports large scale projects such as office moves and office decor Assists with onboarding of new employees (sending welcome packets and swag, laptop set up, email or calendar assistance) Owns the T&E Platform (Concur) Prioritizes inquiries and requests while troubleshooting conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements Builds and maintains external client relationships on an as needed basis The Right Candidate:
Possess a strong level of autonomy and good instincts as well as a high level of business acumen, and quickly understands and knows who to go to for information Is highly skilled at organization and prioritization Takes Initiative and is intuitive in calendar management Takes initiative in creating a positive company culture through culture and team building events Has expert proficiency with Microsoft Office, and Google suite; with the ability to design and edit graphic presentations and materials Will be technical proficiency and have deep problem-solving skills related to IT infrastructure; IT support and troubleshooting Has strong verbal and written communication skills Has exceptional organizational skills and impeccable attention to detail Has a high degree of professionalism dealing with a diverse group of people, including customers, vendors and staff Has the ability to complete a high volume of tasks and projects with little or no guidance Will have the ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround, with the ability to shift gears quickly based on changing priorities Will be able to maintain a high level of integrity and discretion in handling confidential information Has intermediate level knowledge of Concur and Asana as well as intermediate knowledge in facilities management and building management/maintenance Has had experience attending meetings that have action items and follows up on those action items Has significant executive and/or administrative support experience, including supporting C-level executives Has 5
Years of experience in an Executive Assistant or Administrative Assistant and or an Office Manager/Facilities role Location - Hybrid:
This role is required to be in person at our beautiful, fully stocked Hermosa Beach location Tuesday-Thursday each week, and as needed on occasional Mondays and Fridays.
